1. What information we collect

In short: We collect information you give us, information generated automatically when you call, and call recordings.

Information you provide

We collect personal information you voluntarily provide when you telephone a business that uses our service, register on our services, or contact us. This may include:

Sensitive information. We do not process sensitive personal information.

Payment data. We use Stripe to process payments from our business clients. Payment information is transmitted directly to Stripe and is not stored on our systems. Stripe's handling of that information is governed by their privacy policy. We do not collect payment information from callers.

Information collected automatically

Some information is generated automatically rather than provided by you:

Google APIs. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Information from other sources

We receive information about you from our telephony and voice service providers, which deliver your phone number, call metadata, and call audio to us. We may also receive customer or membership information from our business clients so that the assistant can recognize returning callers.

We do not obtain information about you from data brokers, marketing partners, or social media platforms, and we do not use any information for targeted advertising.

2. How we process your information

In short: To answer calls, book appointments, notify our clients, keep the service running, and comply with the law.

We do not process your information to send marketing or promotional communications, or for targeted advertising.

3. When and with whom we share your personal information

In short: With the business you called, and with the service providers that make the service work.

We share your data with third-party vendors and service providers who perform services for us and require access to that information to do their work. We have contracts in place with each of them designed to safeguard your personal information. They cannot use your information for their own purposes.

The third parties we share personal information with are:

Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

4. Artificial intelligence

In short: Our service is powered by AI. You can ask for a human at any time.

We offer products and features powered by artificial intelligence and machine learning. We provide these through third-party AI service providers, including VAPI, Deepgram, and OpenAI. Your input, output, and personal information are shared with and processed by these providers to enable the service.

Our AI products are designed for AI automation, natural language processing, automated speech recognition and speech synthesis, and answering inbound telephone calls.

How to opt out

Callers who prefer not to speak with an automated assistant may say so at any point during the call. The assistant will take a message and notify the business owner to call you back directly.

You may also request that we delete any recording or transcript of your call by contacting us at cbosman@praxisprotocol.io. Where an account is offered, you can update your preferences in your account settings.

5. How long we keep your information

In short: Recordings and transcripts are deleted after 90 days. Most other information is kept for one year.
InformationRetained for
Call recordings90 days
Call transcripts90 days
Call summaries and appointment records12 months
Contact information and service request details12 months from last interaction
Business client account and billing recordsDuration of the relationship, then 7 years for tax and legal purposes

When we have no ongoing legitimate business need to process your personal information, we will delete or anonymize it. Where deletion is not immediately possible — for example, because information is held in backup archives — we securely store it and isolate it from further processing until deletion is possible.

6. How we keep your information safe

In short: We use organizational and technical security measures, but no system is perfectly secure.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the personal information we process. These include encrypted credential storage, two-factor authentication on all platform accounts, encrypted transmission, access restrictions on administrative systems, and defined retention limits with scheduled deletion.

Despite these safeguards, no electronic transmission over the internet or information storage technology can be guaranteed to be completely secure. We cannot promise that unauthorized third parties will never defeat our security and improperly access your information.

7. Information from minors

In short: We do not knowingly collect information from anyone under 18.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. If we learn that personal information from a user under 18 has been collected, we will take reasonable measures to promptly delete it from our records. If you become aware of any data we may have collected from a child under 18, contact us at cbosman@praxisprotocol.io.

8. Your privacy rights

In short: You can ask us what we hold about you, correct it, or have it deleted — regardless of where you live.

We honor access, correction, and deletion requests from everyone, not only residents of states whose laws require it.

Email us at cbosman@praxisprotocol.io to request access to, correction of, or deletion of any information we hold about you, including information collected during a phone call. We will respond within 30 days.

Withdrawing consent. Where we rely on your consent to process your personal information, you have the right to withdraw that consent at any time by contacting us. This will not affect the lawfulness of processing carried out before withdrawal.

We may retain some information after a deletion request to prevent fraud, assist with investigations, enforce our legal terms, or comply with legal requirements.

9. Controls for Do-Not-Track features

Most web browsers include a Do-Not-Track ("DNT") feature you can activate to signal a preference not to have your online browsing activity monitored. No uniform technology standard for recognizing and implementing DNT signals has been finalized, so we do not currently respond to DNT browser signals. If a standard is adopted that we must follow, we will describe that practice in a revised version of this policy.

Our website does not use cookies, analytics, or tracking technologies of any kind.

10. US state privacy rights

In short: If you live in California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you have specific rights.

Retention by category

Sale and sharing

We have not sold or shared any personal information to third parties for a business or commercial purpose. We have disclosed categories A, B, D, H, I, and K to the service providers and business clients listed in section 3, for the purposes described there.

We may use your personal information for our own business purposes, such as internal research for technological development. This is not considered "selling" your personal information.

Your rights

These rights are not absolute, and in certain cases we may decline a request as permitted by law.

Depending on your state, you may also have the right to obtain lists of the categories or specific third parties to which we have disclosed personal data, to question how personal data has been profiled, and to limit the use of sensitive personal data.

How to exercise your rights

Email cbosman@praxisprotocol.io, or write to us at the postal address in section 13.

You can designate an authorized agent to make a request on your behalf. We may deny a request from an agent who does not provide proof of valid authorization.

Verification. We will need to verify your identity before acting on a request. We will only use information provided in your request for verification and fraud prevention.

Appeals. If we decline to act on your request, you may appeal by emailing cbosman@praxisprotocol.io. We will inform you in writing of any action taken or not taken, with an explanation. If your appeal is denied, you may submit a complaint to your state attorney general.

California "Shine the Light" law. California residents may request, once a year and free of charge, information about categories of personal information we disclosed to third parties for direct marketing purposes. We do not disclose personal information to third parties for their direct marketing purposes. Requests may be submitted in writing using the contact details in section 13.

11. Automated call answering and recording

When you telephone a business that uses Halfbeat AI, your call is answered by an automated assistant rather than a person. At the beginning of every call, we tell you that you are speaking with an automated assistant and that the call is being recorded. By continuing the call after that notice, you consent to the recording.

We apply this practice to every call regardless of the state you are calling from, including states that require all parties to consent to recording.

If you would prefer not to speak with an automated assistant, you may say so at any point during the call. The assistant will take a message and notify the business owner to call you back directly.

The recording and transcript of your call are used to schedule your appointment, notify the business you called, improve the accuracy of the assistant, and resolve any dispute about what was discussed. Recordings and transcripts are deleted after 90 days.

You may request deletion of the recording and transcript of your call at any time by contacting us at cbosman@praxisprotocol.io.

12. Updates to this policy

We may update this Privacy Policy from time to time. The updated version will be indicated by a revised date at the top of this page. If we make material changes, we may notify you by prominently posting a notice of those changes or by sending a direct notification.
